What LinkIt processes

LinkIt stores your account identifier and email address; links, screenshots, photos, audio recordings, uploaded files and text notes you deliberately choose to save; notes, tags and reminders you provide; AI-generated titles, summaries, categories, tags, entities and semantic-search embeddings; and the search questions you send to LinkIt.

If you import a WhatsApp text export, LinkIt may also store the links found in that export, nearby message text used as context, the original message time and the sender name shown in the export.

To improve reminders and resurfacing, LinkIt records limited product interactions such as saving, opening, searching, deleting and reminder activity, together with timing information such as timezone offset. Google Firebase Analytics and Crashlytics collect app usage events and technical diagnostics, including app-instance or installation identifiers, device and operating-system information, app version, crash traces and error details. Sentry may also receive error diagnostics when configured. Our servers and hosting providers process network information such as IP addresses and request logs for delivery, security and troubleshooting.

Audio notes and transcription

Microphone access is requested only when you start recording. Saved audio notes retain the recording and generated transcript until you delete the save or your account. Audio-to-text sends your recording to the server and OpenAI for transcription; LinkIt removes its temporary server file after processing and saves the original recording together with the text you review and confirm when you tap Save. Temporary recordings remain in app-private storage for review and retries and are deleted after a successful save or leaving the screen. Provider retention follows the provider’s own policies.

Images and screenshots

LinkIt only receives an image when you explicitly share it to LinkIt or otherwise choose it for saving. LinkIt does not scan your photo library in the background. On Android, shared images are re-encoded before upload to remove source metadata such as EXIF location data, and the server removes common JPEG metadata segments again before storage.

Images and screenshots may contain sensitive information or personal information about other people. You are responsible for choosing what you save. LinkIt uses image contents only to provide your private saving, organization, search, question-answering and resurfacing features; it does not use saved images for advertising or cross-user profiling.

Documents

Uploaded files are retained until you delete the save or your account. LinkIt extracts text from supported PDF, plain text, CSV and DOCX files and sends extracted text, file names and your notes to its AI provider for summaries, tags and search. Unsupported, scanned or encrypted files remain saved even when text cannot be extracted.

How saved content is analyzed

When you save a supported link, LinkIt may fetch publicly available page or media evidence from that URL, including text, audio transcripts or selected visual frames where available, so it can create useful metadata and search representations. When you save an image, LinkIt may send the image to its AI provider to understand visible text and content and to create searchable metadata. The original service may limit what LinkIt can retrieve from links.

Feedback

When you send feedback, we store your message and feedback category with your account ID, app version, Android version and device information to investigate problems and improve LinkIt.

Why we process it

We use this information to authenticate you, save and organize your content, generate metadata, power search and question answering, schedule reminders, show your personal activity and interest overview, improve resurfacing recommendations, troubleshoot failures and operate LinkIt securely. LinkIt does not sell your saved content or use your saved content to target ads. Advertising data is processed as described below when ads are enabled.

Reminder personalization and model training

LinkIt uses saved-content metadata and your interactions with reminders and saved items to personalize resurfacing. These signals include categories and intent labels, relevance scores, content age, time of day, timezone offset, and whether a reminder was shown, opened, marked useful, ignored or completed.

We may combine these structured signals across users to train and evaluate LinkIt's own reminder-ranking model, which helps decide which of your own saved items to suggest and when. This training runs in our controlled backend or development environment; “local model” does not mean the data stays on your phone. The current training pipeline uses structured recommendation features and interaction outcomes rather than raw uploaded images, audio, documents or full note text. Training exports do not include user IDs or hashed user IDs. They still include recommendation decision identifiers, timestamps and structured context; removing user identifiers alone does not guarantee anonymity. This use is limited to improving LinkIt's reminder and resurfacing functionality, not advertising or training general-purpose generative models.

Analytics and advertising identifiers

LinkIt uses Google Firebase Analytics to measure app usage and understand how features are used. Firebase Analytics may collect usage events, app-instance identifiers, device and operating-system information, and the Android advertising ID when available, even when LinkIt is not displaying ads. These identifiers support analytics and, where configured, advertising measurement. The advertising ID is separate from your LinkIt account ID. You can reset or delete it in Android settings. Turning off ads in LinkIt does not by itself turn off Firebase Analytics or its advertising-ID collection. See Firebase privacy information for more details.

Advertising

When advertising is enabled, LinkIt may display clearly labeled native ads supplied by Google AdMob. The Google Mobile Ads SDK may collect and share your device IP address, interactions with ads or the app, diagnostic information, and device or account identifiers, including the Android advertising ID when available, to deliver and measure ads and prevent fraud. Google and its advertising partners may use this information under their own privacy practices. LinkIt does not send your saved links, image contents, notes, tags, or search questions to AdMob to target ads.

Where required, LinkIt requests advertising consent through Google’s User Messaging Platform before requesting ads. You can review available advertising choices in the app’s Settings under Ad privacy choices and manage or delete your advertising ID in Android settings. You can read Google’s advertising information for more detail. Ad availability depends on your region and privacy choices.

Service providers

Authentication and database storage are provided by Supabase, hosting by Railway, and AI metadata generation, transcription, visual understanding and embeddings by OpenAI. Google Firebase provides app analytics and Crashlytics error reporting; Sentry provides additional error reporting when configured. When ads are enabled, Google AdMob and its advertising partners process the advertising data described above. Providers receive the data needed for the specific functions described here. We do not grant ourselves or partners unrestricted rights to use your data for unrelated purposes. See Supabase privacy information, Railway privacy information, OpenAI privacy information, Firebase privacy information and Sentry privacy information. AI processing may involve provider-side retention for security and abuse prevention; deleting content from LinkIt does not promise immediate deletion from all provider logs.

Retention and deletion

Your saved content, including uploaded images, documents, audio recordings, transcripts and generated metadata, remains until you delete the individual save or your account. Imported WhatsApp context attached to saved items is removed with those items or with your account. Deleting your account permanently deletes the LinkIt account and associated saved content from the application database. Account deletion also removes account-linked activity, reminder history and recommendation records from the application database. Web deletion requests collect your registered email address and request status so we can verify ownership and process the request, normally within 7–10 business days. Submitting the request does not immediately delete the account. Completed or rejected website deletion-request records (registered email, request status, processing timestamps and internal notes) are kept for up to 30 days after the request is closed, then automatically purged. Pending requests remain open until processed or rejected. Support correspondence and security or operational records may remain longer only when legitimately required for disputes, fraud prevention or law; these are reviewed and minimized rather than kept for a fixed universal period. Supabase database backups (when enabled), Supabase logs, Railway logs, Firebase/Crashlytics, Sentry and AI-provider records follow the providers’ applicable retention settings; LinkIt cannot remove individual records from those systems immediately through account deletion. Provider retention varies by plan and configuration, and is not included in the 7–10-business-day request-processing estimate. Separately exported training records and already-trained model parameters are not automatically erased by the database cascade; contact us for a review of associated records. Removing user identifiers alone does not make a training export anonymous.

Security

LinkIt uses encrypted HTTPS connections and authenticated, user-scoped access. Saved images, documents and audio are not exposed through public URLs; retrieval requires an authenticated LinkIt request for the owning user. Android app backup is disabled so LinkIt session credentials are not copied through device backup. No system can guarantee absolute security.

Your choices

You choose what links, images, documents, audio notes, text notes or chat exports to provide. You can delete saved items in the app, remove reminders, sign out, or permanently delete your account in Settings. You can also submit a web deletion request without installing the app; we may need to verify account ownership before processing it. Advertising choices are available through the app’s Ad privacy choices setting when provided for your region.

International processing

LinkIt and its providers may process information outside your country, according to their hosting locations and applicable data-protection requirements.

Policy changes

We update this policy when our data collection, purposes, providers or retention practices materially change. We also update applicable Google Play Data safety disclosures. We will provide notice of material changes and obtain consent before new processing where required. Publishing a policy update alone does not authorize an unrelated new use of your personal or sensitive data.
